Unit4 Agresso

This guide describes the necessary preparations and setup for integrating the Unit4 Agresso HR system with Identum's services.

Overview

Unit4 Agresso, also known as Unit4 Business World (UBW), is an Enterprise Resource Planning (ERP) system used for managing finances, HR, and other core business processes.

Preparations and Setup

To ensure a successful integration, you must complete the following preparations.

1. Order Data Extract: You must order a data extract from your Unit4 provider (e.g., TietoEvry).

   • Specify that the data format must be Stamdata3.

   • Instruct the provider to send file access directly to us at Identum.

2. Ensure Data Quality: The quality of the data in Unit4 is critical for the automation to function correctly.

   • User Positions: Every user must be registered with a position that is linked to a specific organizational unit. This is essential for ensuring that notification flows and access management work correctly in all connected systems.

   • Manager Assignment: A manager must be assigned at all levels of the organizational hierarchy. This is done by adding the manager's resource number from Unit4 to every organizational unit they are responsible for.

3. Define Organizational Structure

Note: We strongly recommend building the organizational module in Unit4 to reflect the company's actual organizational hierarchy, rather than structuring it around cost centers. A clear and logical hierarchy provides a dynamic and understandable structure for managing access rights.

Example of a good organizational structure: The structure should be hierarchical, starting from the top leader (e.g., Municipal Director) and branching down into departments and sub-departments, such as:

1. Municipal Director

   • Head of Health and Care

     • Department of Home Services

     • Department of Health

     • Department of Nursing and Care

   • Head of Culture and Education

     • Department of Culture

     • Fyresdal Kindergarten

     • Gimle School

Getting Started

Once we have received and imported the initial data file from Unit4, we will schedule a meeting. In this meeting, we will review the data quality together and configure the necessary main filters and position filters to complete the setup.
